1. Who we are

JBY Couriers Ltd ("we", "us", "our") is a company registered in England and Wales (company number 14688170), with its registered office at Salcey Green Farm, Unit 1 Forest Road, Hanslope, Milton Keynes, MK19 7DE.

We are the data controller for the personal data described in this notice. If you have any questions, contact us at ops@jbycouriers.co.uk.

2. What data we collect

We may collect and process the following personal data about you:

  • Contact details — name, email address, telephone number.
  • Business information — company name, job title, billing address.
  • Enquiry and booking details — collection and delivery postcodes, load type, special instructions, and any other information you provide when requesting a quote or placing a booking.
  • Correspondence — records of emails, calls, or messages you send us.
  • Technical data — IP address, browser type, pages visited, and other usage data collected automatically when you use our website (see Cookies below).

3. How we collect your data

  • Directly from you — when you complete our quote request form, call us, or email us.
  • Automatically — through cookies and similar technologies when you browse our website.
  • From third parties — for example, referrals from business partners or information from publicly available sources.

4. How we use your data

We use your personal data to:

  • Respond to your enquiries and provide quotations.
  • Arrange, manage, and fulfil transport and storage bookings.
  • Issue invoices and process payments.
  • Communicate with you about your bookings or account.
  • Improve our website and services.
  • Comply with our legal and regulatory obligations.
  • Send you relevant service updates or marketing communications where you have consented or we have a legitimate interest to do so.

5. Legal basis for processing

We process your personal data on the following legal bases under UK GDPR:

  • Contract — processing is necessary to perform a contract with you or to take steps at your request before entering into a contract.
  • Legitimate interests — to operate and improve our business, provided your interests and rights do not override ours.
  • Legal obligation — where we are required to process data to comply with the law.
  • Consent — where you have given us clear consent, for example for marketing emails or non-essential cookies.

6. Cookies

Our website uses cookies — small text files stored on your device — to help it function correctly and to understand how visitors use it.

7. Who we share your data with

We do not sell your personal data. We may share it with:

  • Hosting and infrastructure providers — third parties who host our website and systems, bound by data processing agreements.
  • Inbox and messaging platform — our contact form submissions are handled by a third-party messaging service to manage enquiries.
  • Analytics provider — GoDaddy C2 analytics and Google Analytics (where you have consented) to help us understand site usage.
  • Licensed transport partners — where a job requires a vehicle larger than our own fleet, we may share booking details with vetted, insured haulage partners solely to fulfil your delivery.
  • Legal and regulatory authorities — where required by law or to protect our legal rights.

8. International transfers

We aim to keep your data within the UK and European Economic Area. Where any service provider processes data outside the UK, we ensure appropriate safeguards are in place (such as UK adequacy decisions or standard contractual clauses).

9. How long we keep your data

We retain personal data only for as long as necessary for the purposes set out in this notice, or as required by law. Booking and financial records are typically retained for six years in line with HMRC requirements. Enquiry data where no booking results is generally deleted after 12 months.

10. Your rights

Under UK GDPR you have the right to:

  • Access — request a copy of the personal data we hold about you.
  • Rectification — ask us to correct inaccurate or incomplete data.
  • Erasure — ask us to delete your data in certain circumstances.
  • Restriction — ask us to restrict how we use your data.
  • Portability — receive your data in a structured, machine-readable format.
  • Object — object to processing based on legitimate interests or for direct marketing.
  • Withdraw consent — where processing is based on consent, you may withdraw it at any time.

To exercise any of these rights, contact us at ops@jbycouriers.co.uk. We will respond within one month. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO).

11. Security

We take appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, or disclosure. However, no method of transmission over the internet is completely secure.
